Filing emails from Outlook to CRM (Classic Outlook integration)

You can file emails from any folder in Outlook against records in CRM.

When filing emails from Outlook to CRM, the plugin tries to match the email address on the Outlook email with an email address in CRM. You can also select a batch of emails from any folder in Outlook and file them to CRM in a single action. When you perform a mass filing, CRM will look only for a match with the first email address in the batch you have selected. If no match is found for the first email address, you must manually match the email batch to a record in CRM. When filing batches of emails, it is recommended that all emails in the Outlook-based batch have the same email address.

When filing an email from outlook to CRM, if the user selects a company or person, the email will inherit the territory of either the company or person (in that order), depending on the users insert rights for those territories.

  1. From your Inbox, highlight or click the email you want to file in CRM.
  2. Click File Email when it becomes active. The File Email screen is displayed.
  3. Use the Advanced Search Select buttons to specify what records you want the email filed against.
  4. Check the settings in the Filing Options panel, and change them if you need to.
  5. Click File And View Email in Sage CRM. The Email In page is displayed. This gives you access to Email action buttons in CRM to reply to the email straightaway from within CRM. This automatically logs the reply as a communication record against the customer.
  6. Click File Email to return to the email list in Outlook.
  7. If you click File And View Email for multiple emails, the Communications tab of the person you emailed is displayed.
  8. Click Continue. The list of emails in Outlook is displayed. The filed email has a check mark next to it showing it was successfully filed in CRM.
    You also can right-click your Inbox in Outlook, click Open In New Window, and drag and drop emails directly onto the Document Drop icon in CRM (Internet Explorer only). This method stores the whole email as an attachment to the communication record. For more information on dragging and dropping, please refer to Document Drop.

To file an email while sending it from Outlook:

  1. Log on to Sage CRM from within Outlook.
  2. In Outlook, click New | Mail Message. The new email pane is displayed.
  3. Fill in the email address fields.
  4. Click Send And File . The File Email screen is displayed.
  5. Use the Advanced Search Select buttons to specify what records you want the email filed against.
  6. Select the appropriate settings in the Filing Options panel.
  7. Click File Email. The email is filed in the CRM database against the record you specified.
